How to Make AI Content Sound Like Your Business, Not a Robot

Analyse these pieces for quantifiable patterns: average sentence length, paragraph length, vocabulary complexity (measured by Flesch-Kincaid or similar), ratio of active to passive voice, use of first person versus third person, frequency of questions, use of data and specifics versus generalities. Step 4: Custom System Prompts
Build system prompts that incorporate your rules, examples, and prohibited terms. The structure matters. Lead with the voice definition, follow with specific rules, include two to three example pairs in the prompt itself, and end with the prohibited words list. Test the prompt across different content types to ensure it generalises well.

The practical requirements are: a curated training dataset of your best content, cleaned and formatted consistently; access to a fine-tuning API (available through OpenAI, Anthropic, and open-source alternatives); and someone with the technical skill to manage the training process. The cost is modest, typically under 500 pounds for a fine-tuning run, but the quality improvement is significant.
Fine-tuned models produce content that is measurably closer to your brand voice with shorter prompts and less editing. For high-volume operations producing 50 or more pieces per week, the efficiency gain justifies the investment within the first month.
The Before-and-After Approach
The most effective way to demonstrate voice calibration value to stakeholders is the side-by-side comparison. Take a brief from your current content calendar. Generate the content with default AI settings. Then generate it again with your calibrated voice system. Show both versions to your team without labels.
